Back Office:

Job Details:

The Back Office Administrator at Worthey Trucking plays a vital role in supporting the daily operations of our trucking business. This position involves managing administrative tasks, ensuring compliance with regulations, handling financial transactions, and providing essential support to both the operations team and drivers. The ideal candidate is detail-oriented, organized, and capable of multitasking in a fast-paced environment.

Back Office Administrator:

Key Responsibilities:

Administrative Support:

  • Manage and maintain accurate records of shipments, deliveries, and driver logs.
  • Coordinate with dispatchers and operations staff to ensure all paperwork is completed and filed appropriately.
  • Handle routine office tasks such as answering phones, responding to emails, and managing schedules.

Compliance Management:

  • Ensure all company operations comply with federal and state regulations, including Department of Transportation (DOT) requirements.
  • Assist in maintaining and updating compliance documentation, such as vehicle maintenance records, driver qualification files, and hours of service (HOS) logs.
  • Support audits by organizing and providing necessary documentation to auditors and regulatory bodies.

Financial Transactions:

  • Process invoices, handle accounts payable and receivable, and manage payroll for drivers and office staff.
  • Reconcile bank statements and assist with financial reporting to management.
  • Manage expense reports and ensure all transactions are recorded accurately.

Human Resources Support:

  • Assist in recruiting, onboarding, and training new employees, ensuring all HR documentation is completed and filed.
  • Maintain employee records, including timekeeping, attendance, and benefits administration.
  • Support employee relations by addressing inquiries, resolving issues, and ensuring company policies are followed.

Customer Service:

  • Serve as a point of contact for customers, addressing inquiries related to shipments, billing, and service issues.
  • Coordinate with the operations team to provide timely updates to customers regarding the status of their shipments.
  • Handle customer complaints and work towards quick and effective resolution.

Data Management:

  • Input, update, and manage data in the company’s transportation management system (TMS) and other software platforms.
  • Generate reports and provide data analysis to support management in decision-making.
  • Ensure the confidentiality and security of all company data.

Logistics Coordination:

  • Support logistics operations by coordinating with drivers and dispatchers to optimize routes and schedules.
  • Monitor and track shipments, ensuring timely deliveries and addressing any issues that arise.
  • Assist in managing fleet maintenance schedules and coordinating repairs as needed.

Qualifications:

  • High school diploma or equivalent; a degree in business administration or a related field is a plus.
  • Previous experience in administrative roles, preferably in the trucking or logistics industry.
  • Strong understanding of DOT regulations and compliance requirements.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with transportation management systems (TMS) is preferred.
  • Excellent organizational and multitasking skills with strong attention to detail.
  • Effective communication skills, both written and verbal.
  • Ability to work independently and as part of a team in a fast-paced environment.

Physical Requirements:

  • Ability to sit for extended periods while working at a computer.
  • Occasionally lift and move office supplies or files up to 20 pounds.
